Indian Customs Electronic Gateway (ICEGATE) is an online website created to offer e-filing services to businesses, cargo carriers, and trade partners. The portal permits users to file different documents electronically, easing the import-export process and lowering paperwork.

The Authorized Dealer (AD) Code is a 14-digit numerical code allotted by the bank that manages your foreign exchange transactions. It is issued by the bank with which the exporter has a business current account. This code, stamped on bank letterhead, can be acquired after the exporter has enrolled with the Director General of Foreign Trade (DGFT) for an Import Export Code (IEC). It is valid permanently.

A shipping bill cannot be created without an AD code registration. Registration also offers advantages like exemptions that are directly credited to the user’s current account. Registering your AD Code with customs at every port where you undertake import-export tasks is vital for smooth customs clearance.

How to Register AD Code Online in ICEGATE

Step 1: Registration on ICEGATE

Before continuing with the online registration of AD Code/IFSC, it is compulsory to register your entity on the Icegate website and get a Login ID and Password. [Website link – https://www.icegate.gov.in/]

Firms that are already registered on Icegate can log in directly and proceed to Step 2.

Step 2: Log in to e-SANCHIT and upload the Documents

Choose the e-SANCHIT module and upload the necessary documents

Registered users may utilize their digital signature (Class-3 category) to attest to the documentary proofs, upload them in e-SANCHIT, and furnish the IRN number they have obtained.

This is an essential pre-requisite step before continuing with Icegate AD Code registration. The following is the list of documents that need to be uploaded to e-SANCHIT [digitally signed]. After that, an IRN Number will be created, which will be used in Step 6 of this process.

  • Company PAN card (With Approved signatory’s stamp and sign)
  • Aadhar card copy of the Accredited signatory with a signature who is authorized to sign with the bank.
  • Bank Authority Letter (Typed on Bank letterhead with Bank Authority’s stamp and sign)
  • Updated IEC copy (With Recognized signatory’s sign and stamp)
  • Cancel Cheque
  • GST copy (With Endorsed signatory’s sign and stamp)

To upload the documents, select the tab “Upload Documents”

To create IRNs, the user must choose the “Submit button.” After the user selects the submit button, a disclaimer pop-up will appear, and the user must approve the disclaimer to continue with IRN generation. After choosing the Accept button, the system will create a unique number termed an IRN, which will be shown on the web page and also transported to the user through email as a structured message from ICEGATE.

After concluding the procedure of document upload, DRN and IRN will be generated.

Step 3: Sign in to ICEGATE with ICEGATE Login ID and password

On the Export Promotion Bank Account Management page, the user receives two options in the dropdown

  1. Bank A/c for Export Promotion Incentive and
  2. Authorized Dealer Code Registration

Choose the Authorized Dealer Code Registration and select Submit to see the dashboard for AD Code Bank Account Registration.

Step 6: Add New Account

After performing Step 5 above, the user will view below two kinds of screens.

If the user has already registered a few of the port locations, the following screen will display.

  • Add a New Account option to create an AD code
  • If the user has not enrolled with any of the ports/locations, the specified image will be shown:
  • Add a New Account option to create an AD code
  • Select the Add New Account button to disclose the form
  • Fill out the form to finish the registration process
  • The user is required to complete this form.
  • The location dropdown includes only those locations for which the user is enrolled, and he has not included any bank accounts.
  • The bank list dropdown contains an auto-complete field in which the user may enter keywords related to the bank name, and the bank name will be searched.
  • The user is requested to choose the bank name and input the bank branch’s valid AD code. This code can be acquired by utilizing the AD Code Help Enquiry link on the left pane of the post-login page shown to a registered user.
  • Enter e-SANCHIT IRN Number.
  • The user is requested to key in the valid IRN number of the documents he has uploaded in e-SANCHIT and upload an Icegate ID. Here the document supporting the bank account owned by the entity may be uploaded.
  • If the user does not possess his individual Class 3 digital signature, he should utilize the digital signature (Class 3 category) of another person (enrolled at ICEGATE) to sign the document and then upload it to e-SANCHIT.
  • After the ITN number is received, the IRN number and ICEGATE ID (from which the user uploaded documents to e-SANCHIT) must be filled out in the form.

Step 7: Finish Mobile OTP Verification

After the OTP has been authenticated, the request for AD Code registration is dispatched to ICEGATE. When ICEGATE accepts the bank account add request, the bank account particulars will display on the AUTHORISED DEALER CODE dashboard.

  • The user can display the status of their request by choosing the View icon adjacent to a registered request entry.
  • After selecting the view icon, the specified image will appear.
  • That concludes your registration request. The request then goes to customs, who will accept/reject if after perusing the documents.
  • Exporters can monitor their request status on the Authorized Dealer Code Registration dashboard by choosing the status icon.

Status at Custom can be of specified types:

  • System Rejected – The request has a mistake at the system level
  • System Pending – The request for certification at the system level is pending.
  • Custom port Rejected – Custom port officers have denied the request
  • Custom port Approved – There was no mistake in the request, and the custom port accepted it. The bank account will be displayed on the dashboard after the request for the custom port is approved.
  • Custom port Pending – The request has no system-level mistake, and it is pending with the Custom port officer.

If the request is disapproved, the user can see the request status with an error code. The user can then change the request and deposit it again as detailed.
